Predictive Scheduling – Always On
Just set your rules and watch your schedule fill up
Quick Fill works while you don’t. It reads your upcoming schedule, finds the openings (or likely openings) that cost you production, and books them with the patients most likely to say yes and show up. You set the guardrails once. It runs from there.
It protects you from three kinds of schedule holes:
Empty appointment slots
Unconfirmed appointments
Likely no-shows
Quick Fill proposing time slots in the schedule
Propose Time Slot – Patch Holes with Ease
When a cancellation lands, you’ll see a list of people who can potentially fill that timeslot. Then, from LiveOps®, you can offer the slot to whomever you want. Just pick one (or fifteen), and the invite goes out on its own.
The patient taps, confirms, and the appointment drops onto your schedule in DI and your PMS. No calls or re-typing required.
You decide how the offer travels:
First come, first served.
Send the invite to everyone you select at once – the fastest patient to claim it wins the slot. (And every other patient is given the chance to look at your other openings.) This is great for same-day or next day openings.
OR
One every 30 minutes.
Give your best-fit patient the right of first refusal, then let the offer roll to the next patient every half-hour until it’s booked.
The Secret Sauce:
Patient Scoring
How do we choose which patients to show you?
Quick Fill reads your schedule and patient’s history and ranks patients based on who’s most likely to accept AND keep their appointment.
Their score is based on a few factors:
Likelihood to accept an appointment:
Quick Fill weighs how patients have responded before — invites taken, proposals accepted, outstanding balances, time since their last visit — and displays the ideal patient for your schedule. The strongest candidates hear from you first.
Likelihood to keep their appointment:
Just accepting isn’t enough. Patient Scoring reads confirmation and appointment completion histories to flag which patients are the most solid and which might wobble, so you can shore up the shaky ones early.
Stay in control of your schedule from start to finish
Quick Fill handles the mundane and keeps you in the driver’s seat. You set the windows, the service types, how many patients to contact per slot, the send times, the channel, and whom to exclude. Patient Scoring does the matching, and it only ever does what you tell it to.
Our problem was cancellations and no-shows. In some of our locations, they were as high as 25-30%. This meant that three out of ten scheduled appointments weren’t coming into one of our practices on an average day, which meant we weren’t providing our hygienists with sufficient opportunities to diagnose and treat patients. Within a few months, our cancellations had dropped to less than 10% - a phenomenal improvement.”
